Scope of Responsibilities

  1. Managing Project Directory:
    1. Adding companies to the project directory with all necessary company details.
    2. Ensuring all users are assigned to the correct companies and have the appropriate project templates applied.
  2. Insurance Management:
    1. Uploading insurance documentation for all contractors into Procore with complete and accurate details.
    2. Ensuring all uploaded insurance documents include expiry dates and tracking notifications for renewals.
  3. Proficiency in Procore Modules:
    1. Core Tools: Managing documents, directories, and administrative settings as needed.
  4. Project Management Tools:
    1. Managing RFIs, submittals, inspections, incidents, observations, and defect lists effectively.
  5. Financial Management Tools:
    1. Updating the cost report with accurate forecasts.
    2. Adding subcontractors and detailing their relative cost breakdowns.
    3. Reviewing and processing progress claims.
    4. Raising head contract variations.
    5. Recording and tracking subcontract variations

Required Skills and Competencies

  • Background in construction project management or a related field (e.g., civil engineering, architecture).
  • Experience in insurance documentation management and renewal tracking.
  • Procore Experience: Hands-on experience using Procore software, specifically in managing the Project Directory, Insurance, Project Management, and Financial Management tools is a plus.
  • Project Management Knowledge: Strong understanding of project management processes, including RFI management, submittals, inspections, financial reporting, and contract variations.
  • Detail-Oriented: Ability to manage large volumes of data and documentation with high attention to detail and accuracy.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to collaborate effectively with various teams, contractors, and stakeholders.
  • Problem-Solving Abilities: Strong analytical skills with the ability to address and resolve issues efficiently, especially in relation to insurance, variations, and financials.
  • Technical Proficiency: Familiarity with other construction management software tools in addition to Procore is a plus.
